Terms & Conditions

All bookings are made with Kilimanjaro Climbing Company Ltd. In relation to the booking all references below to the Kilimanjaro Climbing Company or KCC are references to the booking made with Kilimanjaro Climbing Company Ltd.

When making your booking it is implied and accepted that you have read and understood all these booking conditions and agree to abide by them.

Please read the following booking conditions carefully. When you sign a booking form you agree to accept all booking conditions and abide by the rules set down. All rules are put in place for safety, ethical or environmental reasons. In the extreme circumstance breaking these rules may result in removal from an expedition.

  1. Price

When you book your trip and pay a deposit you will be advised of the price. Once the booking is secured with a deposit the price will not be altered unless any additional items or services are added to the expedition by you or a member of the group named under the booking.


Any unused services or items paid for and not utilised during the expedition will not be refunded on completion of the expedition.

  1. Payments

We accept payments via bank transfer. We accept payments in Pounds Sterling. Prices listed on the website are in US Dollars for ease of foreign operations and your invoice will state the Royal Bank of Scotland exchange rate from US Dollars to Pounds Stirling on the day the invoice is issued.

  1. Booking confirmation

Your booking will be confirmed by email once we have received the deposit amount totalling 10% of the cost of your booking and a signed booking confirmation form. The balance is due no later than 30 days prior to the date of departure. If you book a tour less than 30 days prior to the date of departure, you must send the full payment within 7 days of confirmation by us. The deposit is a non- refundable payment and will only be refunded under circumstances relating to item 5b.

  1. Cancelations/Delays

It is a fundamental condition that you acknowledge that this is an adventure tour. This requires some flexibility. The day to day itinerary is taken as a guideline only. We cannot be held responsible for any delays caused by International or domestic flights, lost or delayed baggage, strikes, government regulations, weather or natural casualties etc. In such cases, the KCC shall be responsible for providing suitable alternatives which could be decided upon mutual agreement. Additional costs may be incurred by you for the arrangement of suitable alternatives. If an agreement cannot be made, KCC shall be only responsible for refund after deducting expenses already incurred. If you do not show up at the meeting point specified on the agreed date, we will assume you have been delayed and will wait for you to contact us with your new expected arrival date. If you do not contact us within 48 hours we will assume you have cancelled the tour.

  1. Cancellation time scale and charges


7 days prior to departure 10% of total trip price incurred 48 hours to day of departure 25% of total trip price incurred.


The trip will not be cancelled by us unless we are forced to do so because of unusual or unforeseeable circumstances such as a major natural disaster, major political unrest or war. If we cancel the tour we will promptly refund all payments made by you including the deposit. We shall not be liable to refund any additional expenses that you may have incurred (such as insurance, visas, vaccinations and other incidental costs).


If greater than 7 days prior to the commencement date of the trip you need to re-schedule your trip due to unforeseen circumstances, we will accommodate this free of charge. 7 days to the day of departure we will re-schedule your trip but charges may be incurred for items already booked and paid for by the KCC.

  1. Assistance during your booked period

The Kilimanjaro Climbing Company is a full service operator and part of our service is to supply any ground assistance to you during your visit to Kilimanjaro and within the time frame of your booking. Outside of your booking time frame ground assistance will still be supplied free of charge should the KCC deem it necessary. The booking time frame is classed as all time where a service purchased from the KCC is in use.


In the case of the journey being broken or early return upon client’s own wish or causes or an early summit attempt, The Kilimanjaro Climbing Company shall not be liable to any refund of the days not utilized. You as the clients have to pay for additional nights at hotel or any extra costs incurred after leaving the itinerary.

  1. Liability

KCC is liable for the negligence of its employees and suppliers when they are acting in the scope of their employment or in the provision of the travel arrangements. KCC is not liable for any failures that occur in the performance of the travel arrangements which are attributable to you or any member of your party, or attributable to a third party unconnected with the provision of the services and unforeseeable or unavoidable, or are due to unusual and unforeseeable circumstances beyond the control of the company which could not have been avoided even if all due care had been exercised. All baggage and personal effects are at all times at your own risk. We will not be responsible for any loss, damage or accident to any luggage and property, howsoever incurred. You are advised to check the limitations of your insurance policy in this respect.

  1. Data Protection

KCC takes full responsibility for securing any information or data supplied to us by you. We will only pass your information on to organisations that require the information in regard to your booking with us. When you confirm a booking with us you consent to your information being used in this way.

  1. Insurance

Before joining the tour it is essential you take out private travel insurance. This should include adequate cover for baggage, medical expenses, cancellation, evacuation and emergency repatriation. It is essential your insurance covers you for trekking up to 6000 metres. You must supply documentary proof of your policy. As well as travel insurance we recommend you have a credit card with US$ 2000 limit to cover any unforeseen expenses.

  1. Leadership & rules

You agree to abide by the authority of the group leader during your time on Kilimanjaro. Signing the booking form implies your acceptance of the mountain leader’s decisions which could affect the group or individuals. The mountain leader will give you a complete briefing on your arrival about your expedition. All rules laid down by the group leader are for safety, ethical or environmental reason. Should you disagree with any of the rules, consult the mountain leader in the first instance and if the matter cannot be resolved contact KCC in England by appropriate means at the first opportunity.

  1. Health

When making the booking it is understood that you are in good health and have a level of fitness that will make it possible for you to complete the trip. You must declare any medical conditions and fill out a form detailing any medicines currently being taken. If the risk of your condition is deemed unsuitable for trekking at high altitude the KCC has the right to exclude you from the expedition. Should you be excluded from the expedition due to medical reasons a full refund will be given. It is your responsibility to visit a travel clinic or doctor prior to commencement of the expedition to seek up to date medical advice with regards to the area of the world you are planning to travel to.

  1. Passports, visas, and immigration requirements

When booking an expedition with KCC it is your responsibility to obtain all the necessary travel documentation needed to enter Tanzania.

  1. Activities

Any additional activities booked and undertaken with other companies shall not fall under the booking conditions of KCC and your contract will be with the operator of the said activity. KCC will not be held responsible for any occurrences.
